Rental Instructions
Pre-Rental Requirements:
  1. For insurance and liability purposes a list of authorized drivers is required each time a rental contract is entered. It is the responsibility of the Manager of the renting department to ensure that the driver(s) have been properly screened.The most basic screen is to check that the driver has a valid class "G" or "F" license. In instances where a driver(s) will be used frequently throughout the academic year, the Manager must obtain driver abstracts. These can be obtained by the driver through the Ministry of Transportation or at provided ServiceOntario Kiosks.
First-Time Renters:
  1. Visit U of T Scarborough Parking Services for rental information and details, 416-287-7628.
  2. With the assistance of Parking Services, setup a customer/departmental billing account with Budget. A Direct Billing Application must be completed. All new accounts set up with the rental agency must include a note that will remind vendors to inform all renters that the Loss Damage Waiver insurance must be purchased, as required by the University of Toronto.
  3. With the assistance of Parking Services, contact vendor to setup rental contract. Information required:
    • Department account number, contact name, address and phone number.
    • Billing name, address and phone number (if different than contact name).
    • Rental period, vehicle type and use of vehicles (see exclusions).
    • List of authorized drivers, addresses and valid driver’s licenses.
      Drivers must be screened in advance by the renting department - confirm that drivers have valid license and review drivers’ abtract, if possible.
    • Request pick-up and drop-off service, if required.
  4. Insurance:
    • Third Party Liability insurance is provided by Budget for short-term rentals, or by the University of Toronto for long-term rentals.
    • Purchase mandatory Physical Damage/Loss Damage waiver insurance and ensure there is coverage for the entire rental period. This will be flagged as a requirement when using the customer account.
    • Review option to purchase Personal Accident Insurance.
  5. Ensure that the following documentation is in the vehicle before driving:
    • Rental Contract
    • Vehicle Permit
    • All insurance documents including Ontario Auto Policy
    • Emergency phone numbers
    • Driver’s Report of Accident Form
Short-Term Repeat Renters (less than 30 consecutive days):
  1. Contact Budget directly to set up the rental contract. Information required:
    • Department account number, contact name, address and phone number.
    • Billing name, address and phone number (if different than contact name).
    • Rental period, vehicle type and use of vehicles (see exclusions).
    • List of authorized drivers, addresses and valid driver’s licenses.
      Drivers must be screened in advance by the renting department - confirm that drivers have valid license and review drivers’ abtract, if possible.
    • Request pick-up and drop-off service, if required.
  2. Setup insurance with rental agency:
    • Third Party Liability insurance is provided by Budget (confirm terms and exclusions).
    • Purchase mandatory Physical Damage/Loss Damage Waiver insurance and ensure there is enough coverage for the entire rental period. This will be flagged as a requirement when using the customer account.
    • Review option to purchase Personal Accident insurance.
  3. Ensure that the following documentation is in the vehicle before driving:
    • Rental Contract
    • Vehicle Permit
    • All insurance documents including Ontario Auto Policy
    • Emergency phone numbers
    • Driver’s Report of Accident Form
Long-Term Repeat Renters (more than 30 consecutive days):
  1. Contact Budget directly to begin the rental process, this should occur a minimum of 4-5 days prior to the effective rental date. Information required:
    • Department account number, contact name, address and phone number.
    • Billing name, address and phone number (if different than contact name).
    • Rental period, vehicle type and use of vehicles (see exclusions).
    • List of authorized drivers, addresses and valid driver’s licenses.
      Drivers must be screened in advance by the renting department - confirm that drivers have valid license and review drivers’ abtract, if possible.
    • Request pick-up and drop-off service, if required.
  2. Contact the U of T Scarborough Parking Services with the details of your rental contract. Parking Services will forward the following information to the Risk Management & Insurance Department to begin the process of adding the vehicle to the University's insurance policy:
    • Contact information including department name, contact name and position, address, phone and fax number, e-mail, account numbers
    • Vehicle and rental information including rental period, type of vehicle, list of drivers with age and driver’s license numbers, driver’s status with University and nature of use of vehicle.
  3. The Risk Management & Insurance Department will fax a copy of the Ontario Auto Policy within 1-2 working days and will mail the original by campus mail.
  4. The vehicle must be picked up or delivered only once a copy of the the Ontario Auto Policy is made available from the Risk Management & Insurance Department. Vehicles will not be released without proof of insurance.
  5. Ensure that the following documentation is in the vehicle before driving:
    • Rental Contract
    • Vehicle Permit
    • All insurance documents including Ontario Auto Policy
    • Emergency phone numbers
    • Driver’s Report of Accident Form
